Time blocking: how to give every hour a job
Time blocking is a way of planning where you divide your day into blocks of time and give each block one job, decided in advance. Instead of working from a to-do list, you work from a calendar: at 09:00 you write the report, at 11:00 you take calls, at 14:00 you train.
Why time blocking works
- It turns intentions into appointments. "Write the proposal" becomes "Tuesday 09:00 to 11:00, proposal". You show up to appointments.
- It makes limits visible. A list can grow forever; a week cannot. If it does not fit, you find out while planning.
- It protects focus. One job per block means fewer switches and deeper work.
- It ends decision fatigue. You decide once, on Sunday, instead of fifty times a day.
How to time block your week, step by step
- List what matters this week. Three to five outcomes, not fifty tasks.
- Put anchors in first: meetings, classes, training, family.
- Block your most important work in your best hours. For most people that is the first 2 to 4 hours of the morning.
- Batch the small stuff. Email, messages and admin go into one or two blocks a day.
- Add buffers. 30 to 60 minutes of open time in the afternoon absorbs overruns.
- Decide the end of the day. A last block makes the day stop.
- Tick blocks off as you go. In Cutline every finished block earns XP.
- Review on Sunday. Compare planned with finished, and plan the next week. See the weekly review.
An example day
| Time | Block |
|---|---|
| 07:00 to 08:00 | Gym |
| 08:30 to 11:30 | Deep work: the one thing that matters |
| 11:30 to 12:00 | Messages and email |
| 13:00 to 14:30 | Calls |
| 14:30 to 15:30 | Buffer |
| 15:30 to 16:30 | Follow-ups |
| 21:00 to 21:30 | Read |
Common mistakes
- Planning a fantasy week. If you have never done six hours of deep work in a day, do not plan it. Plan what you finished last week, plus a little.
- No buffers. One late meeting and the whole day collapses.
- Blocks that are too vague. "Work" is not a job. "Write the landing page copy" is.
- Treating a missed block as failure. Move it, or let it go on purpose. The point is deciding.
Time blocking vs timeboxing
The terms are often used for the same thing. Strictly, time blocking reserves time for a kind of work, and timeboxing sets a fixed limit for a specific task. In practice you do both: a block for deep work, and inside it a box for one task.
Templates to start from
- 5 AM Founder: deep work first, sales after lunch.
- Monk Mode: four hours of deep work every day.
- Exam Week: study blocks you cannot skip.
Questions
What is the difference between time blocking and a to-do list?
A to-do list says what to do; time blocking also says when and for how long. That makes it far more likely to happen.
How long should a time block be?
Deep work blocks work best at 90 minutes to 3 hours. Admin and messages fit in 30 to 60 minute blocks.
What if I miss a block?
Move it to the next free slot or drop it on purpose. Missing one block is normal; the review on Sunday is where you adjust.
What is the best time blocking app?
Any calendar can hold blocks. Cutline is built for it: drag blocks onto the week, tick them when done, and earn XP for finished time.
